The Challenge

Stock levels were tracked in separate spreadsheets per department, so nobody could answer a simple question: how much raw material is actually in the store right now? Stock takes were manual, discrepancies surfaced only at month end, and production planning worked off figures that were already a week out of date.

What We Built

We built a single source of truth for inventory with item-level tracking from goods-in through to dispatch. Every movement is recorded against a department and a user, stock is decremented automatically as production consumes it, and reorder points raise alerts before a shortage stalls a line.

  • Item-level stock ledger with full movement history and audit trail
  • Automatic reorder alerts against per-item minimum levels
  • Department-wise consumption tracking feeding production planning
  • Physical stock-take variance reporting at each count
  • Role-based permissions for stores, purchase, and production users
📈

The Outcome

The client now runs its stock ledger on one system instead of six spreadsheets, and stock accuracy improved enough that purchasing decisions are made against current data rather than last week's estimate.
